Privacy Policy

This Privacy Policy explains how Gardner Property Services LLC ("Gardner Property Services," "we," "us," or "our") handles information in connection with FieldDesk, our internal business and property-maintenance management application ("FieldDesk" or the "application"), and this website, https://gardnerpropertyco.com/.
FieldDesk is used by Gardner Property Services and its authorized personnel to run our business. It is not a consumer product and is not offered to the general public.
1. Summary
FieldDesk processes information for legitimate business and application purposes only.
We do not sell personal information.
We do not use information in FieldDesk for advertising.
Access to Google services happens only after an authorized user grants permission, and only for the business workflows described below.
2. Information FieldDesk May Process
Customer, property, and work-order information. Customer and business names, contact names, phone numbers, email addresses, billing and service addresses, property details, work orders, schedules, visit notes, and related service history.
Account and authentication information. Sign-in identifiers such as an email address and a unique account ID, plus the credentials and authorization tokens needed to confirm that a user is permitted to use the application or a connected service.
Employee and crew information. For our own personnel, information needed to operate the business, such as names, contact details, work assignments, schedules, time entries, and payroll-related records.
Photos and uploaded files. Job-site photographs, site plans, receipts, certificates of insurance, and other documents that users add to business records.
Invoices, quotes, and business records. Quotes, invoices, payment status, receipts, expenses, accounting ("Books") entries, and similar records.
Email content for business communications. The recipients, subject, message text, and attached document of business emails, such as invoices and quotes, prepared through FieldDesk.
Google account information. When an authorized user connects a Google account, FieldDesk receives the information described in Section 3.
3. Google Services and Google User Data
FieldDesk may connect to Google services, including Gmail and Google Drive, for authorized business workflows. A connection is made only after an authorized user signs in with Google and grants permission on Google's consent screen.
What FieldDesk accesses
Basic account identity. The email address of the Google account, used to confirm that the connected account is the company's designated business email account.
Gmail. FieldDesk uses Gmail access to prepare business emails, such as invoices and quotes with their PDF attachments, as drafts in the company's designated INFO email account. It checks those drafts against what was approved and removes drafts it created that are no longer needed. These emails are sent from that account only after review and approval by an authorized person. FieldDesk does not use this access to read, search, or analyze the contents of the mailbox.
Google Drive. Business documents, such as receipts placed in a designated company folder, may be read so they can be reviewed and recorded in our business records.
How Google user data is used
Google user data is used only to provide the features described above. We do not sell it or use it for advertising. We do not transfer it to others except as needed to provide these features, to comply with applicable law, or as part of a business transfer described in Section 5. We do not use it to develop or train generalized artificial intelligence or machine learning models.
FieldDesk's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Storage of Google authorization
The authorization that allows FieldDesk to reach the connected Google account is stored in encrypted form on the company computer that runs the application.
Revoking access
Access can be withdrawn at any time from the Google Account permissions page at https://myaccount.google.com/permissions. After access is revoked, FieldDesk can no longer reach that Google account.
4. How Information Is Used
We use information in FieldDesk to:
schedule, assign, perform, and document property-maintenance and landscaping work;
communicate with customers, including sending quotes and invoices;
prepare invoices, record payments, and keep accounting, payroll, tax, insurance, and compliance records;
manage our personnel and their work;
authenticate users and protect the application and our records;
maintain, troubleshoot, and improve the application; and
comply with legal obligations.
5. When Information May Be Shared
We do not sell personal information. Information may be shared only in these circumstances:
Service providers. With companies that provide services we use to operate FieldDesk and our business, as described in Section 6.
Professional advisers. With our accountants, insurers, or legal advisers where needed for our business.
Customers and business contacts. When we send a customer their own quote, invoice, or related documents.
Legal reasons. Where required by law, legal process, or a lawful government request, or where needed to protect our rights, property, or safety or those of others.
Business transfers. In connection with a merger, sale, or reorganization of our business, subject to this Policy.
6. Third-Party Service Providers
FieldDesk relies on third-party services, which process information on our behalf under their own terms and privacy policies. These include:
Google, including Google Cloud and Firebase services for authentication and data storage, and Gmail and Google Drive for the workflows described above.
AI assistant tools that our authorized personnel use to help carry out tasks in FieldDesk.
Website hosting for this website.
7. Data Security
We use reasonable measures intended to protect information in FieldDesk, including restricting access to authorized users and requiring authentication for connected services. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Data Retention and Deletion
We keep information for as long as it is needed for the business purposes described in this Policy, including accounting, tax, legal, and record-keeping requirements. When information is no longer needed, we delete it or stop using it in the ordinary course of business. You may request deletion as described in Section 9. We may need to retain certain records where the law or legitimate business needs require it.
9. Access and Control
If you are a customer or other individual whose information we hold, you may contact us to ask what information we have about you, or to ask that it be corrected or deleted. We will respond as required by applicable law.
Authorized users who have connected a Google account can revoke that access at any time, as described in Section 3.
10. Children's Privacy
FieldDesk is a business application for authorized adult users. It is not directed to children, and we do not knowingly collect personal information from children under 13.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date.
